Contacts
The client profile page
Everything about one client in one place – contact info, work, time, files, notes, invoices and payments, emails and the client portal.
The info card (left)
The Contact Info card shows the client’s details: display name, SIN (individuals), email, phone, any filled-in custom fields, contact type, address and additional info. Organizations also show incorporation date, year end, business number, GST/HST and PST numbers, organization type and the contact person.
For organizations, the phone number and email are those of the contact person – there is only one place to enter them, and that’s what is shared with QuickBooks Online.
To change anything, click Edit (see Add and edit a client). Under the info card you’ll find Linked profiles – related contacts (e.g. a spouse, or a company’s owner).
Cards on the Profile tab
- Work – the client’s work items, with status, due date and assignee.
- Notes – “Across all work for this client”: the client’s own notes and the notes written on its work items, newest first. Click one to read it in full.
- Files – files uploaded to the client’s profile and to any of their work items (the work item’s name shows under the file). Click + to upload.
- Emails – your emails with this client.
- Invoices – the client’s invoices, paid and unpaid. Payments are on the Billing tab.
- Tags.
Each card shows a short message when it’s empty (e.g. “No tags”, “No linked profiles”).
The tabs
| Tab | What you’ll find |
|---|---|
| Profile | The info card and the cards above. |
| Work | All work items for this client, with the count as Total Work: N. Filter by Assignee, Work type and Status. Show completed is on at first, so finished work is listed too; turn it off to see only open work. Tick work items to Change status or archive them, just like on the Work page. |
| Time | Every time entry for this client, from all work items and subtasks. Same cards and list as the Time page, without the client filter. Filters: Date, Work type, Assignee, Status. |
| Files | All the client’s files, in folders. |
| Notes | The client’s notes plus the notes written on its work items. |
| Billing | The client’s Invoices and Payments; + Add Invoice. Invoices has the filters Status, Assignee, Invoice date and Label, with the total at the bottom; Payments has Payment date and Label. |
| Emails between this client and you, from your own connected mailbox. | |
| Client portal | Who can sign in to the client’s portal, the files the client sees there, and e-signature requests (see Share files with clients through the client portal). |
The number next to a tab shows how many items it holds (Billing has no number). On the Time tab the number covers the last 12 months. On the Time and Billing tabs you can set the date filter to see the client’s whole history.
Emails with the client
The Email tab (and the Emails card) shows your emails with this client – both received and sent.
- If your email isn’t connected yet, you’ll see Connect your email. Connect it from Email in the left menu (Microsoft mailbox).
- If you’re connected but there are no emails with this client, you’ll see “No emails with this client yet.”
- Click an email to open it, then reply or forward from inside ProCharted.
Other actions
The ⋮ menu at the top right of the profile has Archive (or Move to active) and Merge.
Tips
- Archiving hides the client from the Active list but keeps everything.
- The Time tab gives the same result as going to Time and filtering by this client.
